Job Description

The ideal candidate has experience in a dynamic, fast-paced, and highly collaborative environment. He/she will proactively support all daily business administrative responsibilities for the Executive and co-Executive and work with the administrative team to ensure smooth daily operations across the division. The Executive Assistant will support the development of projects under the Executive's office while maintaining discretion, initiative, and superior administrative skills.Key Responsibilities:
  • Conserve the Executive's time by reading, researching, and routing correspondence; drafting documents; collecting and analyzing information; and initiating telecommunications.
  • Act as the point of contact among executives, employees, clients and other external partners
  • Organize meetings and note taking in meetings
  • Manage the Executive's calendar, including making appointments and prioritizing the most sensitive matters
  • Handle correspondence directed to the Executive
  • Make travel arrangements and detailed travel itineraries
  • Take dictation and minutes and writing them up subsequently
  • Prepare reports and presentations by collecting and analyzing information
  • Manage events and office matters as required
  • Maintain the current filing and database system, and looking for ways to improve current systems
  • Use various software, including word processing, spreadsheets, databases, and presentation software
  • Learn and champion various software
  • Gather competitive intelligence and conduct research as required

Skills and Qualifications:
  • Proven work experience as an Executive Assistant, Personal Assistant or similar role
  • Proficiency in the Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
  • Knowledge of office management systems and procedures
  • Strong project management and problem-solving skills
  • Knowledge in the use of Customer Relationship Management (CRM) tool is a plus
  • Outstanding organizational and time management skills
  • Strong oral communication skills along with well-developed writing, grammar, punctuation, and proofreading abilities
  • Ability to handle confidential data and information
  • With great attention to details
  • Willing to work US hours and with flexibility- 8PM to 7AM Manila Time (Hours will likely be broken up, with most of the time spent from 730pm-midnight Pacific. But some meetings during the daytime)
